Job Description

CST Ethiopia represents the overseas development and humanitarian agencies of the Catholic Church from England and Wales (CAFOD), Scotland (SCIAF), and Ireland (Trócaire) in Ethiopia. The three agencies have over 40 years’ of experience in international development and humanitarian response and are each members of worldwide networks, including Caritas Internationalis. Currently, the three agencies jointly operate a single, integrated country programme in Ethiopia through the legal entity CST Ethiopia.

CST Ethiopia is implementing a 2017-21 country strategic plan focused on two programmes Women’s Empowerment and Resilient Communities, which integrates sustainable livelihoods, humanitarian and other (e.g. peacebuilding) programming.

A great opportunity for individuals looking to develop a career in HR and/or work towards Office Management, the HR Advisor is a key role managing administration within the Finance and Administration team. This post will facilitate the smooth running of the CST ETHIOPIA office through:

  • Office coordination, internal communication and Administration
  • HR administration, advice and local labour law expertise
  • Facilities management (including support staff management)

The post holder will be part of the Finance and Administration team, oversee, and manage an office cleaner. The post holder will liaise with all programmes and finance staff in terms of overall office communications, supplies, facilities, IT Support. As HR focal point the post holder will also work with Human Resources staff based in Maynooth as required.

The role will hold oversight for IT amp; IT infrastructure

Directly line manages Office Cleaner

Not a budget holder but has a small allocation to manage for office properties including supplies.

Key Duties amp; Responsibilities

  • Office Coordination and Administration (20%)
  • Support managers in internal communications (e.g. ad hoc meetings, announcements, absences, updates)
  • Ensure sufficient office supplies (e.g. stationary, water, tea, coffee, sugar, cleaning supplies)
  • Maintain general files and office records (paper and electronic) archiving old documentation as needed. This may include legal agreements and correspondence.
  • Ensure sufficient supplies of CST ETHIOPIA resources, stationary etc for the use of office staff.
  • Ensure office handbooks, processes, policies and procedures are disseminated to all staff as needed and source documents are stored in all user files
  • Maintain records of key dates i.e. official holidays, expiry of agreements and inform relevant managers.
